Information We Collect

We collect the following types of information:

• Information you provide (email address, phone number, notes, tasks, documents, caregiving information)
• Ask conversation content (messages you send in the Ask feature when you use it)
• Information from third-party authentication providers (if you sign in with Google: name, email address, profile picture)
• Automatically collected information (device type, browser type, IP address, usage data)

We do not sell your personal information.

How We Use Your Information

We use your information to:

• Provide and maintain the Sagebeam Service
• Send optional notifications (SMS, email)
• Improve and personalize the user experience
• Pre-populate your account information (e.g., display name and profile picture from Google when you sign in with Google)
• Process Ask messages with an AI provider to understand your requests and respond (we use this to operate, improve, and secure the Ask feature; we do not use Ask content for marketing or to train third-party models)
• Ensure security and prevent misuse
• Communicate about service updates

Google Sign-In & API Services User Data Policy

If you choose to sign in with Google, we comply with Google's API Services User Data Policy, including the Limited Use requirements. This means:

Sign-in. For authentication only, we request the minimum OAuth scopes: openid, email, and profile.

Optional Google Calendar. Calendar sync is a separate step with its own consent. If you connect, we create a secondary calendar in your Google account and write Sagebeam tasks and appointments you choose to sync. OAuth refresh tokens for Calendar are encrypted at rest. You can turn sync off under Calendar or Settings; we remove the Sagebeam-managed calendar and event links from our side while retaining your login. For Calendar we request calendar (create that secondary calendar) and calendar.events (create and update events we place on that calendar). We do not read unrelated events from other calendars.

• We only use Google user data (name, email address, profile picture) to provide and improve user-facing features in Sagebeam, such as pre-populating your account information and personalizing your experience
• We do not transfer, sell, or use Google user data for advertising purposes
• We do not transfer Google user data to third parties except as necessary to provide or improve user-facing features in Sagebeam (e.g., using service providers to operate our platform)
• We do not use Google user data to determine credit-worthiness or for lending purposes
• Additional Google scopes apply only if you connect optional features (for example, Google Calendar scopes above when you choose Calendar sync)

SMS & Email Notifications

If you add your phone number or opt in to SMS:

• You may receive caregiver updates, handoff notes, or daily summaries
• Msg & data rates may apply
• Reply STOP to unsubscribe

We do not share phone numbers with third parties for marketing.

Data Sharing

We may share information with:

• Service providers who help operate Sagebeam
• Our AI provider (e.g., OpenAI or a trusted AI service provider), solely to process Ask conversation content and provide the Ask feature
• Law enforcement if required by law
• Other users in your caregiving team as permitted by your settings

We do not sell or rent your information.

Data Security

We use industry-standard security practices to protect your information. No method of transmission is completely secure.

Health Information

Sagebeam allows you to store health-related information about family members, including medication lists, medical documents, diagnoses, and care notes. We treat this information with the same security practices described in this policy.

Sagebeam is not a healthcare provider, health plan, or healthcare clearinghouse, and is not a covered entity under the Health Insurance Portability and Accountability Act (HIPAA). Health information you store in Sagebeam is protected by this Privacy Policy and our security practices rather than by HIPAA.

You control who can access health information stored in Sagebeam through the permission settings in your account. We do not use health information you store for advertising or share it with third parties except as described in the Data Sharing section above.

Cookies and Tracking

We use cookies and similar technologies to:

• Essential cookies: Required for authentication and core functionality. These cannot be disabled.
• Analytics cookies: We use PostHog to understand how you use Sagebeam and improve our service. You can opt out by declining cookies when prompted.

You can manage cookie preferences through the cookie consent banner that appears on your first visit.

Data Retention

We retain information as long as your account is active or as needed. Ask conversation history is retained for 30 days and then removed (or no longer displayed). You may request deletion of your data, including Ask history, by emailing support@mysagebeam.com.

Marketing Attribution Data

We store marketing attribution data (e.g., how you found Sagebeam) to help us understand which marketing channels are most effective. This data is retained permanently for analytics purposes and includes information such as the website or campaign that referred you to Sagebeam. This data is not shared with third parties except as described in our Data Sharing section.

Children's Privacy

Sagebeam is not intended for children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or by email.
